EXECUTIVE ASSISTANT

Busy executive, with offices in Beverly Hills and Las Vegas has an immediate need for an Executive Assistant for the Beverly Hills office:
Responsibilities:
Manage workflow including mail, correspondence, and telephone calls, determining priorities & preparing responses without errors and in a timely manner.
Maintain contact management in a current, complete and accurate manner.
Collect and prepare complete and accurate information for executive's use in discussions/meetings with other executive staff and outside individuals within established timeframes.
Manage calendars including making travel arrangements without errors and in a timely manner.
Maintain accurate, complete and current filing systems.
Orders and maintains office supplies and equipment, including supplies for entertaining clients controlling expenses and maintaining adequate inventory according to company policies and procedures.
Keep all matters and information strictly confidential according to company policies and procedures.
May coordinate activities between offices and outside parties ensuring courtesy, professionalism and responsiveness in all contacts and completion of tasks in an accurate and timely manner.
Qualifications: Applicants must have a minimum of 3 years experience as a senior level assistant and be proficient with MS Office applications including Word, Excel and Outlook. Additionally, applicants must be able to:
Communicate effectively both orally and in writing;
Plan and prioritize work activities effectively;
Hold self and others accountable in meeting deadlines and commitments;
Adapt quickly and effectively to changing and ambiguous circumstances; and,
Maintain a high degree of confidentiality and professionalism.
Preference will be given to those applicants with a demonstrable and solid background in law and or real estate.
