EXECUTIVE ASSISTANT

Busy executive, with offices in Beverly Hills and Las Vegas has an immediate need for an Executive Assistant for the Beverly Hills office:



Responsibilities:



• Manage workflow including mail, correspondence, and telephone calls, determining priorities & preparing responses without errors and in a timely manner.

• Maintain contact management in a current, complete and accurate manner.

• Collect and prepare complete and accurate information for executive's use in discussions/meetings with other executive staff and outside individuals within established timeframes.

• Manage calendars including making travel arrangements without errors and in a timely manner.

• Maintain accurate, complete and current filing systems.

• Orders and maintains office supplies and equipment, including supplies for entertaining clients controlling expenses and maintaining adequate inventory according to company policies and procedures.

• Keep all matters and information strictly confidential according to company policies and procedures.

• May coordinate activities between offices and outside parties ensuring courtesy, professionalism and responsiveness in all contacts and completion of tasks in an accurate and timely manner.





Qualifications: Applicants must have a minimum of 3 years experience as a senior level assistant and be proficient with MS Office applications including Word, Excel and Outlook. Additionally, applicants must be able to:

• Communicate effectively both orally and in writing;

• Plan and prioritize work activities effectively;

• Hold self and others accountable in meeting deadlines and commitments;

• Adapt quickly and effectively to changing and ambiguous circumstances; and,

• Maintain a high degree of confidentiality and professionalism.



Preference will be given to those applicants with a demonstrable and solid background in law and or real estate.
